Sales Pipeline Management
A new lead qualifies in Apollo. The agent creates a Trello card in the Qualified list of the Sales pipeline board: card name is the company name, description contains the lead details and qualification notes, due date is the follow-up target, assignee is the sales rep. When the rep books a demo (Calendly On Invitee Created fires), the agent moves the card to the Demo Scheduled list. When the deal closes, the card moves to Closed Won. The board is an accurate reflection of pipeline state without manual card moves.
Operational Exception Board
Each week, an AP agent processes hundreds of transactions. Exceptions go to a Trello board dedicated to AP issues. The agent creates a card for each exception: title is the vendor and issue type, description has the full context, checklist items are the resolution steps. The AP manager works through the board, checking off resolution steps as they complete them. Mark Checklist Item as Complete fires in the agent, which logs each resolution step in the ERP.
Client Deliverable Tracking
For each active client, there is a Trello board tracking project deliverables. When a deliverable milestone is completed in the project management system, the agent moves the corresponding Trello card from In Progress to Review, adds a comment with the completion details, and attaches the deliverable document. The client-facing team member sees the board update and knows the deliverable is ready for review.
Human-in-Loop Highlight
When an agent is about to close a board or archive a large number of cards, it routes the action for human confirmation via Slack: "I am about to archive the [Project Name] board.
