Reply Classification and Routing
On Email Replied fires. The agent reads the reply content and passes it to Gemini AI for classification: positive interest, negative/not interested, question requiring a response, or out of office. For positive replies, the agent creates a HubSpot deal, marks the lead as Interested in Instantly, and sends a Slack notification to the sales rep with the reply text and a Calendly link to book a call. For negative replies, it updates the lead status and removes them from active sequences. For questions, it routes to the sales rep with the question flagged for a personal response.
Bounce-Driven Data Hygiene
On Email Bounced fires. The agent marks the lead's email address as invalid in Instantly. It searches for the lead in Apollo to attempt to find a current email address. If Apollo returns a verified alternative, the agent updates the lead record and re-enrolls them in the sequence. If no alternative is found, it updates the CRM contact with an invalid email flag. Bounces are handled systematically, not ignored.
Interested Lead Handoff
On Lead Marked Interested fires. The agent creates a new contact and deal in HubSpot with the lead's information and campaign history. It generates a single-use Calendly link and sends a personalized email from the sales rep's Outlook account: "Thanks for your interest in FlowRunner. Here is a link to find a time that works for you: [personalized link]." The sales rep receives a Slack notification: "[Lead Name] at [Company] has been qualified as interested. CRM deal created. Calendly link sent. Review here: [HubSpot deal link]." The handoff is complete before the rep even knows the lead replied.
Human-in-Loop Highlight
Not every positive reply is an unambiguous buying signal. When the reply classification is ambiguous (mixed positive/negative signals, a vague expression of interest, or a conditional yes), the agent does not route to the full sales handoff sequence automatically. It surfaces the reply to the sales manager via Slack: "Reply from [Lead Name] at [Company] is classified as ambiguous. Here is the reply: [text]. Route to sales as qualified, continue nurture, or respond directly?" The manager reads the actual reply and decides. AI handles the clear cases. Humans handle the edge cases.
